ADMINISTRATIVE OFFICER"},"content":{"rendered":"<p>The Planned Parenthood Association of Ghana (PPAG), an NGO and a member of the International Planned Parenthood Federation (IPPF), and a leading provider of Sexual and Reproductive Health (SRH) education and services, hereby invites result-oriented and committed persons to apply for the following vacant positions to be filled in the Association.<br \/>\nPOSITION: ADMINISTRATIVE OFFICER<br \/>\nDIRECTLY REPORT TO: PROCUREMENT AND ADMINISTRATION MANAGER<br \/>\nLOCATIONS: HEAD OFFICE<br \/>\nDUTIES AND RESPONSIBILITIES:<br \/>\nThe incumbent shall be responsible for the reception and general secretarial duties as detailed below:<br \/>\n\u25aa Answer and direct phone calls in a polite and friendly manner<br \/>\n\u25aa Welcome visitors in a warm and friendly manner and answer any questions visitors have<br \/>\n\u25aa Serve visitors by directing them appropriately<br \/>\n\u25aa Notify staff of the visitor\u2019s arrival<br \/>\n\u25aa Coordinate staff travel activities<br \/>\n\u25aa Type correspondence and reports<br \/>\n\u25aa Ensure that incoming mails are sorted and duly distributed<br \/>\n\u25aa Ensure that on-going mails are sent on schedule<br \/>\n\u25aa Appropriately and properly files all documents and correspondence all the time<br \/>\n\u25aa Provides secretarial support to the HR unit<br \/>\n\u25aa Assist in the organization of seminars, meetings conferences etc.<br \/>\n\u25aa Ensure that the office environment is clean and tidy<br \/>\n\u25aa Ensure the judicious use of stationery and equipment<br \/>\n\u25aa Assist in the collation of performance Appraisal forms and properly filed<br \/>\n\u25aa Receive all medical claim forms and properly documented for further action<br \/>\n\u25aa Under the directive and guidance of HRM monitor leave of all staff and file leave documents.<br \/>\n\u25aa Under the directive and guidance of HRM assist in all recruitment activities.<br \/>\n\u25aa Assist in preparing monthly payment allowance of National Service Personnel.<br \/>\n\u25aa Ensure the existence of an updated staff records<br \/>\n\u25aa Assist in orientation programs<br \/>\n\u25aa Assist in Preparing monthly, quarterly and annual report.<br \/>\n\u25aa Perform any other duties that may be assigned by the immediate supervisor<br \/>\nQUALIFICATION &amp; EXPERIENCE<br \/>\nFirst degree BSc Administration (Human Resource Option), Management Studies or its equivalent with a minimum of three (3) years relevant working experience.<br \/>\nOTHER QUALITIES &amp;
