{"id":20533,"date":"2024-01-31T16:38:32","date_gmt":"2024-01-31T16:38:32","guid":{"rendered":"https:\/\/www.ppag-gh.org\/nu\/?post_type=jobpost&#038;p=20533"},"modified":"2024-01-31T16:38:32","modified_gmt":"2024-01-31T16:38:32","slug":"vacancy-assistant-finance-administration-officer","status":"publish","type":"jobpost","link":"https:\/\/www.ppag-gh.org\/nu\/jobs\/vacancy-assistant-finance-administration-officer\/","title":{"rendered":"VACANCY: ASSISTANT FINANCE &#038; ADMINISTRATION OFFICER"},"content":{"rendered":"<p>POSITION: ASSISTANT FINANCE & ADMINISTRATION OFFICER<br \/>\nDIRECTLY REPORT TO: FACILITY HEAD<br \/>\nINDIRECTLY REPORT TO: SENIOR FINANCE MANAGER and PROCUREMENT AND ADMINISTRATION MANAGER, HEAD OFFICE<br \/>\nLOCATIONS: SUNYANI<br \/>\nDuties and Responsibilities:<br \/>\nAccounting and Finance \u2022 Process all expenditure requests as approved by the facility head \u2022 Prepares monthly, quarterly, half yearly and annual financial reports and any other reports that may be assigned \u2022 Coordinates and ensures that expenditure returns are received, reviewed, properly coded and entered into the accounting system. \u2022 Ensures that consistency is maintained in the internal control system and report any lapses to the Senior Finance Manager \u2022 Coordinates and ensures that funds are available for activity implementation \u2022 Undertakes monthly update of Fixed Asset Register for the facility and projects \u2022 Prepares and maintains up to date cash books for all bank accounts \u2022 Prepares monthly Bank Reconciliation statements \u2022 Assists in preparation of Annual Business Plan (ABP) \u2022 Prepares Annual Workplans at or before the beginning of the year and completes Performance Appraisal Form at the end of the year<br \/>\n\u2022 Manages the facility\u2019s store in terms of Monthly reporting, receiving, recording, storage, issuing of goods\/drugs\/commodities meant for the facility.<br \/>\n\u2022 Ensures that stock records\/ledgers are regularly updated using the Tally cards, etc.<br \/>\n\u2022 Conducts and reports on periodic stock counts<br \/>\n\u2022 Checks the consignment of all in-coming goods<br \/>\n\u2022 Confirm goods coming in by duly signing and stamping Goods Received Note<br \/>\n\u2022 Keeps a copy of the Goods Received Note<br \/>\nAdministration and Procurement duties<br \/>\nAdmin Duties:<br \/>\n\u25aa Provides secretarial support to the volunteers as may be required.<br \/>\n\u25aa Ensures that in-coming mails are sorted and duly dealt with<br \/>\n\u25aa Ensures that out-going mails are sent on schedule<br \/>\n\u25aa Files documents\/correspondence appropriately, both manually and electronically<br \/>\n\u25aa Develops and maintains an updated office supplies list<br \/>\n\u25aa Provides secretarial support during meetings, seminars, training sessions\/workshops<br \/>\n\u25aa Organizes and prepares budget for all facility meetings as applicable.<br \/>\n\u25aa Ensures information and communication flow within the facility and the Head Office<br \/>\n\u25aa Supervises the implementers and ensures that the office environment is clean and tidy<br \/>\n\u25aa Ensures judicious use of stationery and equipment<br \/>\n\u25aa Enter client\u2019s information into the computer<br \/>\n\u25aa Responsible for filing clients\u2019 cards after service delivery<br \/>\n\u25aa Responsible for the use of office vehicles; completion of vehicle requisition form, fuelling, maintenance, etc.<br \/>\nProcurement Duties:<br \/>\n\u2022 Responsible for the planning and the coordinating of all procurement activities at the facility<br \/>\n\u2022 Develop local Suppliers Database as approved in the National Database<br \/>\n\u2022 Serves as Secretary to the Procurement Evaluation Committee<br \/>\n\u2022 Devise and use fruitful sourcing strategies<br \/>\n\u2022 Examine goods procured to meet required standards<br \/>\n\u2022 Develop annual procurement plan for Facility Head\u2019s approval<br \/>\n\u2022 Performs any other duties assigned by the immediate supervisor<br \/>\nQualifications & Experience \u2022 A Diploma in Accounting, SSCE\/WASCE or its equivalent. \u2022 A minimum of 2 years relevant working experience., Proficiency in computer skills, spreadsheet, accounting packages and MS Word, Excel, Power Point is required. \u2022 Good working knowledge in Accpac Accounting Software is preferable.
